1. Introduction
DialogFusion ("DialogFusion", "we", "us", or "our") provides an AI-powered customer communication and CRM platform that unifies conversations from WhatsApp, Instagram, Facebook Messenger, Google Business Messages, live chat, and other channels into a single inbox (the "Service"), available at dialogfusion.com and app.dialogfusion.com.
This Privacy Policy explains what personal data we collect, why we collect it, how we use and share it, how long we keep it, and the rights you have over it. It applies to visitors of our website, users of our Service (our business customers and their team members), and end users whose messages are processed through the Service.
2. Data We Collect
2.1 Account and Contact Data
- Name, email address, phone number, company name, and password when you create an account;
- Billing information (billing address, tax/VAT number, payment method details processed by our payment providers);
- Communications you send to us (support requests, emails, form submissions).
2.2 Messaging and Channel Data
When you connect a messaging channel (such as the WhatsApp Business Platform, Instagram Messaging, Facebook Messenger, or Google Business Messages) to the Service, we process on your behalf:
- Message content, attachments, and metadata (timestamps, delivery status) exchanged between you and your customers;
- End-user profile information made available by the platform (e.g., name, profile photo, phone number, or platform user ID);
- Channel configuration data (page IDs, business account IDs, phone number IDs, and access tokens required to operate the integration).
2.3 Usage and Technical Data
- Log data (IP address, browser type, device information, pages visited, referring URLs);
- Cookies and similar technologies used for authentication, preferences, and analytics.
3. How We Use Data
- To provide, operate, maintain, and improve the Service, including delivering and displaying messages across connected channels;
- To power optional AI features such as automated replies, chatbots trained on your content, and message suggestions;
- To manage accounts, process payments, and provide customer support;
- To send service-related notifications and, with your consent where required, marketing communications;
- To monitor, secure, and debug the Service and prevent fraud or abuse;
- To comply with legal obligations.
4. Meta Platforms Data
DialogFusion integrates with Meta products, including the WhatsApp Business Platform, Messenger Platform, and Instagram Messaging API. When you connect these channels:
- We access and process platform data solely to provide the Service to you — receiving, displaying, sending, and organizing your business conversations;
- We use Meta platform data only in accordance with the Meta Platform Terms, Developer Policies, and the WhatsApp Business Terms of Service;
- We do not sell Meta platform data, use it for advertising networks, or use it to build user profiles unrelated to the Service;
- Access tokens and platform credentials are stored encrypted and are used only to operate the integrations you have authorized;
- When you disconnect a channel or delete your account, associated platform data is deleted as described in Section 8 and on our Data Deletion Request page.
5. Legal Bases for Processing
Where the GDPR or similar laws apply, we process personal data on the following bases: performance of a contract (providing the Service), legitimate interests (security, improvement, fraud prevention), consent (marketing, optional cookies), and compliance with legal obligations. 6. How We Share Data
We do not sell personal data. We share data only with:
- Service providers — hosting, cloud infrastructure, payment processing, email delivery, and analytics providers acting under data processing agreements;
- Messaging platforms — Meta (WhatsApp, Instagram, Messenger), Google, and other platforms, as necessary to deliver messages through channels you connect;
- Legal authorities — when required by applicable law, court order, or to protect our rights and users' safety;
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this Policy.
7. International Transfers
Your data may be processed on servers located outside your country. Where data is transferred internationally, we use appropriate safeguards such as standard contractual clauses and, for data subject to KVKK, the mechanisms provided under Turkish law.
8. Data Retention and Deletion
- Account data is retained for as long as your account is active;
- Conversation data is retained according to your workspace settings and is deleted when you delete it, disconnect a channel, or delete your account;
- Upon account deletion, personal data is deleted or irreversibly anonymized within 30 days, except where a longer retention period is required by law (e.g., invoicing records);
- You may request deletion at any time via our Data Deletion Request page.
9. Security
We apply industry-standard technical and organizational measures, including encryption in transit (TLS), encryption of credentials at rest, access controls, and logging. No system is completely secure; if we become aware of a personal data breach, we will notify affected users and authorities as required by law.
10. Your Rights
Depending on your jurisdiction (including under the GDPR and KVKK), you may have the right to access, rectify, erase, restrict, or object to the processing of your personal data, the right to data portability, and the right to withdraw consent. 11. Children's Privacy
The Service is intended for business use and is not directed at children under 16. We do not knowingly collect personal data from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. We will post the updated version on this page and revise the "Last updated" date. Material changes will be notified via the Service or email.
